Privacy Policy

This Privacy Policy explains how Sarah Burby Coaching & Mentorship ("we," "us," or "our") collects, uses, and protects your information when you visit our websites, including beyondbillablehours.co and intensive.beyondbillablehours.co and any related pages, checkout pages, and portals (the "Sites"); purchase any of our programs, including Beyond Billable Hours and Beyond Billable Hours LIVE (each a "Program"); or participate in our coaching calls, portal, or community (together, the "Services").

Information We Collect

Information you give us: your name, email address, phone number, billing address, professional credentials (such as BCBA status), business details, and anything you share on forms, surveys, worksheets, coaching calls, or in the private community — including offers, copy, or other work you submit for feedback.

Payment information: payments are processed by Stripe. We do not store your full card number. Stripe's use of your information is governed by the Stripe Privacy Policy (stripe.com/privacy).

Information collected automatically: IP address, browser and device type, pages viewed, links clicked, lesson progress, email opens, and similar usage data collected through cookies and similar technologies on our Sites, portal, and emails.

Embedded content: our Sites may include embedded videos (such as Loom). These providers may collect data about your interaction with that content under their own privacy policies.

How We Use Your Information

We use your information to:

  • Process your purchases, payments, and payment plan installments
  • Give you access to Program portals, curriculum, templates, live calls, and community
  • Provide feedback and support from Sarah Burby and our coaching team
  • Send Program updates, call reminders, receipts, and support messages
  • Send marketing emails and, if you opt in, text messages about our programs and offers
  • Improve our Sites, content, and Services
  • Comply with legal obligations and enforce our Terms of Service

Our Service Providers

We share information only with trusted providers who help us run the Services, including:

  • GoHighLevel — websites, checkout pages, CRM, email and SMS delivery, course portal, and community
  • Stripe — payment processing
  • Loom — embedded video content

These providers may only use your information to perform services for us. Members of our coaching team may access information you submit in the portal or community in order to provide feedback. We may also disclose information when required by law, to protect our rights, or in connection with a sale or transfer of our business.

We do not sell your personal information.

Text Messaging (SMS)

If you provide your mobile number and check the SMS consent box (or text a keyword to our number), you agree to receive recurring text messages from Sarah Burby Coaching & Mentorship ("Beyond Billable Hours Text Alerts") about your account and purchases, live call reminders, Program updates, and support. We send promotional texts only if you separately agree to marketing messages. Message frequency varies (typically up to 8 messages per month, and more during live Program weeks). Message and data rates may apply. Reply STOP to opt out at any time or HELP for help, or email sarah@mindbodybehaviorllc.com. Consent is not a condition of purchase. Carriers are not liable for delayed or undelivered messages. See Section 16 of our Terms of Service for full SMS terms.

We use your mobile number and SMS consent only to send the messages you agreed to receive and to keep a record of your consent and opt-out requests.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Email Communications

You can unsubscribe from marketing emails at any time using the link at the bottom of any email. We may still send you transactional messages about your purchase, payments, or account.

Cookies

We use cookies and similar technologies to keep the Sites working, remember your preferences, and understand how visitors use our pages. You can block or delete cookies in your browser settings, though some features may not work properly.

Confidentiality in Our Programs

Information shared by participants on live calls or in the community is intended to stay within the Program. Please do not share client names, protected health information (PHI), or any other information that could identify a client. We are not a HIPAA-covered entity for the purposes of our Programs and are not responsible for client information you choose to disclose.

Data Retention

We keep your information for as long as needed to provide the Services, maintain your lifetime portal access, meet legal, tax, and accounting requirements, and resolve disputes. When it is no longer needed, we delete or anonymize it.

Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Your Choices and Rights

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, or to opt out of certain uses. To make a request, email us at sarah@mindbodybehaviorllc.com. We will verify your identity before responding and will not discriminate against you for exercising your rights.

Children's Privacy

The Services are intended for adult professionals. We do not knowingly collect information from anyone under 18.

Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new Effective Date.
